How do I create a new work entry?
To add a work entry:
- Tap the + button on the Journal screen
- Select a Doctor from your contacts (or add a new one)
- Choose a Work Type from your price list (or create a new one)
- Enter the quantity and adjust the price if needed
- Set the status (Draft, In Progress, Pending, or Done)
- Add optional notes and tap Save
How do I manage doctors?
Go to the Doctors tab to:
- Add a doctor: Tap the + button and fill in their details (name, clinic, phone, notes)
- Import from Contacts: Use the import button to select doctor contacts from your iPhone
- Edit a doctor: Tap on their name and select Edit
- Archive a doctor: Swipe left or tap Archive (preserves work history)
Archived doctors won't appear in the main list but their work entries are preserved.
How do I set up my price list?
Go to the Price List tab to:
- Add work types: Tap + and enter the service name, category, and default price
- Organize by category: Use categories like "Crowns", "Bridges", "Dentures", etc.
- Set default prices: These are automatically applied to new work entries (but can be adjusted per entry)
- Deactivate work types: Mark as inactive if you no longer offer that service (preserves historical entries)
How do I filter and search work entries?
On the Journal screen:
- Search: Use the search bar to find entries by product name, doctor, or notes
- Filter by period: Today, This Week, This Month, or Custom date range
- Filter by doctor: View work only for specific doctors
- Filter by work type: See all entries for a specific service
- Filter by status: Show only Draft, In Progress, Pending, or Done entries
- Sort: By date, total amount, or doctor name
How do I export data for accounting?
Dental Tech Ledger offers two export options:
- CSV Export: Tap the export icon on the Journal screen to export filtered entries to a CSV file. Open in Excel, Numbers, or any spreadsheet app for accounting.
- PDF Reports: Generate professional billing reports with your logo, client details, and itemized work entries. Perfect for invoicing.
Exported files are saved to the Files app and can be shared via email, Messages, or cloud storage.
How do I backup and restore my data?
Go to Settings → Backup & Restore:
- Create Backup: Generates a backup file (.dtl format) saved to the Files app
- Restore Backup: Import a previously saved backup file to restore your data
- iCloud Backup: Your data is also included in iOS device backups if iCloud Backup is enabled in iOS Settings
Tip: Create regular backups, especially before major iOS updates or when switching devices.
Why does the app request Camera/Photos permission?
These permissions are optional and used only if you want to:
- Camera: Photograph dental work or documents to attach to work entries
- Photos: Attach existing photos from your library to work entries
Photos are stored locally on your device and are never uploaded or shared. You can deny these permissions and still use all other app features.
Why does the app request Contacts permission?
This permission is optional and used only if you want to import doctor information from your iPhone Contacts app.
The import happens entirely on your device. We do not access or upload your contacts.
How do I secure the app with Face ID / Touch ID?
Go to Settings → Security → Require Face ID and toggle it on.
Once enabled, the app will require biometric authentication each time you open it. Your biometric data is never stored or accessed by the app — iOS handles this securely.
Is my data private and secure?
Yes. Dental Tech Ledger is completely offline-first:
- All data is stored locally on your device using SwiftData
- No data is transmitted to external servers
- We do not collect analytics or track your usage
- Optional Face ID/Touch ID lock adds extra security
- Data is encrypted at rest by iOS when device passcode is enabled

Can I use the app on multiple devices?
Currently, Dental Tech Ledger stores data locally on each device (no cloud sync).
To transfer data between devices:
- Create a backup on the old device (Settings → Backup)
- Save the backup file to iCloud Drive or send it via AirDrop/email
- Install Dental Tech Ledger on the new device
- Go to Settings → Restore and import the backup file
Cloud sync may be added in a future update.
Does the app support multiple currencies?
Yes. The app uses the currency format set in your iOS Region settings (Settings → General → Language & Region).
The default display shows Russian Ruble (₽), but pricing is stored as decimal numbers and can be interpreted in any currency.
What iOS versions are supported?
Dental Tech Ledger requires iOS 17.0 or later.
The app is optimized for iPhone but also works on iPad with all orientations supported.
How do I delete all my data?
Go to Settings → Reset Data → Delete All Data.
This permanently deletes all work entries, doctors, and work types. Create a backup first if you might need the data later.
Alternatively, uninstalling the app also deletes all local data (unless backed up to iCloud).
