1. Introduction
Dental Tech Ledger ("we", "our", or "the app") is committed to protecting your privacy. This policy explains how we handle your data when you use our iOS application.
Your privacy is important to us. We have designed Dental Tech Ledger to be completely offline-first, meaning your business data stays on your device and is never transmitted to external servers.
2. Data Collection
Dental Tech Ledger does not collect, transmit, or store any personal data on external servers.
All data you create in the app — including work entries, doctor contacts, work types, pricing information, notes, and photos — is stored locally on your device using iOS's secure storage mechanisms (SwiftData).
We do not have access to your data. We do not collect analytics. We do not track your usage.
3. Permissions
The app may request the following iOS permissions to provide its functionality. All permissions are optional and requested only when you use features that require them:
- Camera (NSCameraUsageDescription): To photograph dental work or documents that you want to attach to work entries. Photos are stored locally on your device and are never uploaded or shared.
- Photo Library (NSPhotoLibraryUsageDescription): To attach existing photos from your library to work entries. We only read photos you explicitly select; we never access your entire photo library or upload photos.
- Contacts (NSContactsUsageDescription): To import doctor information from your Contacts app. This is a user-initiated action and happens entirely on your device. Contact data is only used if you choose to import it.
- Calendar/Reminders (NSCalendarsUsageDescription, NSRemindersUsageDescription): To create calendar reminders for pending work entries. Reminders are created locally on your device and are not synced to external services by our app.
- Face ID / Touch ID (NSFaceIDUsageDescription): To secure access to the app using biometric authentication. This is optional and can be enabled in Settings. We do not store or access your biometric data; iOS handles this securely.
Important: No data from these permissions is transmitted outside your device. You can deny any permission and still use most app features.
4. Data Storage
All data is stored in the app's private container on your device using:
- SwiftData: For work entries, doctors, work types, and related information
- File storage: In the Documents folder for attached photos and backup files
- UserDefaults: For app preferences and settings
- Keychain: For secure storage of Face ID/Touch ID settings (if enabled)
iCloud Backup: Your data may be included in iOS device backups if you have iCloud Backup enabled in your iOS Settings. We do not control or access iCloud backups; this is handled entirely by Apple. You can disable iCloud Backup for Dental Tech Ledger in iOS Settings if you prefer.
5. Third-Party Services
Dental Tech Ledger does not use any third-party analytics, advertising, or tracking services.
The app is completely standalone and does not communicate with external servers, APIs, or services.
6. Data Sharing
We do not share, sell, rent, or trade your data with third parties.
The only way data leaves the app is through features you explicitly use:
- CSV Export: You can export work entries to a CSV file, which is saved to your device's Files app. You control where this file goes and who you share it with.
- PDF Reports: You can generate PDF billing reports, which are saved to your device. You control how these reports are shared.
- Backup Files: You can create backup files that are saved locally. You control where these backups are stored (iCloud Drive, local storage, etc.).
7. User Rights
You have full control over your data:
- Access Data: All your data is accessible within the app at any time.
- Export Data: You can export your work entries to CSV format via the app's export feature.
- Delete Data: You can delete individual work entries, doctors, or work types within the app. You can also delete all app data via the app's Settings → Reset Data feature, or by uninstalling the app.
- Backup & Restore: You can create local backups and restore them at any time.
8. Data Retention
Data is retained on your device until you choose to delete it. We do not have access to your data and cannot delete it remotely.
If you uninstall the app, all local data is deleted (unless backed up to iCloud as part of your iOS device backup).
9. Data Security
We take data security seriously:
- All data is stored in the app's private, sandboxed container, which is protected by iOS security mechanisms
- Optional Face ID/Touch ID lock adds an additional layer of security
- Data is encrypted at rest by iOS's built-in encryption (when device passcode is enabled)
- No data is transmitted over the internet, eliminating network-related security risks
10. Children's Privacy
Dental Tech Ledger is a business tool for dental technicians and is not intended for children under 13 years of age. We do not knowingly collect data from children.
11. International Users
Since all data is stored locally on your device and never transmitted to external servers, there are no cross-border data transfers. Your data stays in your country/region on your device.
12. Changes to This Privacy Policy
We may update this privacy policy from time to time to reflect changes in the app or legal requirements. When we make changes, we will:
- Update the "Last Updated" date at the top of this page
- Post the updated policy at this URL
- If changes are significant, we may notify you within the app
We encourage you to review this policy periodically.
